Employee Handbook and Policy Manual Preparation
There is one document that can free you from having to deal with annoying, nitpicking personnel decisions that pop up at the most inconvenient times.
It is a well-written and widely communicated Employee Handbook (also
referred to as an Employee Policy Manual).

You'll find at Santora CPA Group we make this a relatively painless process. First, we'll sit down with you and your management team for a few hours to review your policies and decide what policies you want. Then, we'll write the manual and give you a draft to review. (Truly that's all your time we'll need.) We'll discuss your changes and prepare a final draft. After you've approved the final draft, we'll deliver the final document to you to distribute to your employees. The manual will stop a number of those annoying questions because your employees will know how they're handled and won't come bug you hoping for a different decision this time.

And, best of all, you'll have made policy decisions before specific issues occur,
so you won't be forced to make crises decisions anymore.

Recruiting
One of the most time consuming, daunting, yet important, chores you have to face from time to time is finding capable people who fit in with the rest of your team. So, how do you find capable people for your management, administrative, sales, and marketing positions?

Like most people, you probably throw a quick ad in the Classified Section, or you agonize over what to write for the ad. Then, you're either swamped with a stack of resumes that are so far fetched you wonder what ad they're answering -surely not yours! Or, you receive NO response to your ad. (In either case, you might as well have just put a match to that $300-$1,000 check!)

There's help! We'll work with you to come up with the specific qualities,
behaviors, and experience you're looking for. And, we'll meet with you so we
can get a feel for your culture and what it's like working at your company.

We'll write a job description and then a "Help Wanted" ad. (We'll search our database of potential candidates too.) We'll have the resumes e-mailed, faxed,
or mailed directly to us. Then, we'll go through the stack and find the most
likely candidates to interview, so that you're not wasting valuable time trying
to sort through the good, the bad, and the ugly.

We'll do the initial interviewing, including a profile behavior assessment. And,
best of all, we'll test them for you and check their references. This means
you'll have a better idea of how they work and what they're really capable of.
It also increases the chance that they successfully fit into your company.
Then, we'll only recommend you interview those candidates who can do the
job. You'll make the final selection with lots of input from us.

We have successfully hired administrators, controllers, CFOs, and customer support reps for our clients. We'll gladly supply references from happy clients.

"Audit" of All HR Functions
If you've ever wondered whether your personnel, payroll, and/or benefit systems
are excellent, adequate, or sadly lacking, our HR Audit will give you the answer.

As part of an HR Audit, we will review your company's entire human resource functions including the following areas:

ü The recruiting/hiring process
ü Employee orientation
ü Personnel files
ü Wage and hour issues
ü Payroll functions
ü Benefits administration
ü Personnel practices
ü Employee Policy Manual

You'll discover what systems are in place and working, what systems need
further attention, and what systems are non-existent.

After we've had a chance to review what you currently have in place, we'll sit
down with you and go over what items need attention. (We'll also prioritize
them.) And, we'll let you know what items are working fine. That way you'll
know what you can stop worrying about, and what you really should be
concerned about.

Payroll and Benefits Administration
How much time do you spend managing your company's payroll and benefits package? Do you get so fed up you'd like to just drop all those insurances
and benefits you provide?

If your company has between 10 and 100 employees, Santora CPA Group can take this time-consuming hassle off your hands. We'll handle all the "back room" administration for you. This means you'll free up the time of one of your
valuable employees to concentrate on other tasks that might have a more dramatic impact on your profits.

Consider outsourcing the whole shebang to us, and we'll take care of:

ü Collecting your employee data for your payroll processing. (We'll even
transmit it to your payroll service provider.)
ü Enrolling employees in benefit plans.
ü Communicating (timely and regularly) benefit options to employees.
ü Resolving employees' problems with benefit providers.
ü Verifying benefit providers' invoices.
ü Correcting these invoices (sometimes month after month).
ü Changing employees' payroll deductions.
ü Preparing employee benefit packets to give out to new hires.
ü Worrying about what federal and/or state labor regulations you've messed
up simply because you didn't have time to understand them fully.
ü Setting up and keeping current a database of all your employees so that
you can easily print out reports.
ü Orienting your employees to your benefits and personnel policies.

You can customize these services, and you get to keep whatever benefits
you now offer (if you want). We'll:

ü Manage them for you and deal with your insurance providers.
ü Make sure the right deductions are taken from your employees.
ü Regularly communicate with your employees.
ü Stay on top of all the deadlines that can get you into big trouble.
ü Make suggestions from time to time to help keep your benefit package
  competitive.

Compliance with Labor Laws and Regulations
As your company grows, there are some labor laws and regulations that
you're expected to know and comply with. These get more complex every year.
In fact, there are 21 major ones that could put you in serious hot water if you're not careful. Do you know which ones apply to you? We do!

We'll "audit" your personnel procedures and files to make sure you're in compliance. You'll receive common sense recommendations on how to
become compliant - not a whole lot of legal jargon you don't understand.

Compliance with Wage and Hour Regulations
We can review, revise, or write job descriptions for you and then make sure
you're paying overtime correctly to hourly and salaried employees.

Just because you think some employees are 'salaried,' and you don't have to
pay them overtime, that may not be the way the Department of Labor sees it. (One of our consulting assignments involved assisting a large nonprofit organization review how it paid employees who worked 24-hour shifts and
slept on site.)

Training, Training, and More Training
Successful companies know they can never provide enough training!

Some training programs can make your company stand out from your competitors, give you an edge in recruiting and employee retention, and
help you be more profitable. At Santora CPA Group, we have training programs that can:

ü Provide your receptionist, office personnel (in fact, all your employees) with
a consistent method of answering the phone and dealing with phone calls.
ü Teach all your employees how to provide "Awesome Customer Service."
ü Show your managers how to conduct performance appraisals.
ü Resolve conflicts.
ü Provide a method for employees to understand their own behavior and
show them how they can adapt their behavior to help fellow employees,
your customers, and your prospective customers.

And, some training programs are designed to improve your employees'
awareness so that you can stay compliant with personnel laws. These
programs include sexual and anti-harassment awareness training, hiring
and firing techniques, and complying with basic HR functions.

Change Management Assistance and Training
To survive today, businesses have to be ready to make changes. Very few
things remain constant in the way organizations do business. Technology certainly drives some of these changes, and so do mergers with the blending
of cultures that must take place. (In fact, many acquisitions/mergers fail
because little effort is put into dealing with the people issues that occur
when attempting to blend two diverse cultures.)

If you're attempting to transition from an old way of doing business to a new
way of doing business, we can assist you in the process.

We'll work with your appointed leader of the process (and it is critical that
you have an appointed leader). We'll help you define the vision of what you
want the organization to look like when you're done.

We'll help you set goals to achieve various points with various functions.
The task is to bring order to a messy situation, not pretend it's already well organized and running smoothly.

We use various training programs to show your employees how to recognize
their own behavioral styles and to become aware of the styles of others.
We give them techniques to use to adapt their behavior, to manage
themselves through change, and to help others through change.

Throughout the change process, we'll work together to carefully plan our
efforts so that you can obtain buy-in, support, and commitment from your employees. After all, they're the ones who will be giving up the old ways and managing, operating, and living with the new ways.

Due Diligence of HR Functions for Mergers and Acquisitions
If you are considering the acquisition of another business or a merger, performing due diligence on the other company's human resource functions is as critical as looking into the financial aspects of the other company. There are many areas that could lead to serious expenditures or costly drawn-out lawsuits after you've acquired another company.

As part of our HR Due Diligence, we look at:

ü Key employee information
ü Management information
ü Hiring information
ü Intellectual property matters
ü Governmental and other regulatory obligations and requirements
ü Employee matters
ü Benefit plans
ü Payroll information
ü HR policies

Then we provide you (or your due diligence team) with a written report of our findings and the impact they could have on you.
